This Privacy Policy describes how Vera Soft ("VeraDNS", "we", "us") collects and processes personal data when you visit veradns.io or submit a contact / trial enquiry. We are committed to handling your data in compliance with the EU General Data Protection Regulation (GDPR), the Personal Data Protection Act B.E. 2562 (PDPA, Thailand) and other applicable privacy laws.
1. Who we are
The data controller is Vera Soft, registered at BELLE FLURI, 4007 ZX, Netherlands. You may contact us at privacy@veradns.io.
Important: the VeraDNS product itself runs entirely on your infrastructure — your DNS queries, audit logs and configuration never reach us. This policy only covers personal data collected through veradns.io (marketing, sales enquiries, trial requests).
2. What data we collect
2.1 Data you provide
- Contact / trial form data — first name, last name, work email, organisation, company size, phone (optional), free-text enquiry message.
- Email correspondence — anything you send to
sales@veradns.io,support@veradns.ioor similar inboxes.
2.2 Data collected automatically
- Server logs — IP address, user agent, requested URL, timestamp, referrer (kept ≤ 30 days, used only for security and abuse prevention).
- Anti-bot signals — honeypot field state, form open-to-submit time delta. We do not use third-party analytics or cookie-based trackers on this site.
2.3 Data we do not collect
- No advertising cookies, no cross-site tracking, no third-party analytics (no GA, no Facebook Pixel).
- No data from the deployed VeraDNS product — your DNS queries stay on your infrastructure.
3. How we use your data
- Respond to trial and sales enquiries.
- Provision trial credentials and contact you about your trial.
- Detect and prevent abuse, spam and fraud on the website.
- Comply with legal obligations (tax, accounting, regulatory).
We do not sell your data, share it with advertisers, or use it to train AI models.
4. Legal basis (GDPR / PDPA)
- Consent — for processing form submissions, you tick a consent box before sending. You may withdraw consent at any time by emailing privacy@veradns.io.
- Legitimate interest — limited use of server logs for site security and abuse prevention (Art. 6(1)(f) GDPR).
- Legal obligation — accounting / tax records retained for the period required by law.
5. Sharing & processors
We share personal data only with the following categories of processors, each under a contract with appropriate safeguards (DPA, SCC where applicable):
- Hosting / CDN — to serve this website.
- Email delivery — form submissions are processed by our own backend and delivered to our internal inbox (
sales@veradns.io) via our mail host's SMTP service. No third-party form service stores your enquiry. - Bot protection (Cloudflare Turnstile) — when you submit a form, Cloudflare processes limited technical data (e.g. a challenge token and IP) solely to verify you are not a bot. It does not track you across sites.
We do not transfer data to processors outside these categories without informing you.
6. Retention
- Form enquiries: up to 24 months after last contact, then deleted.
- Server logs: up to 30 days.
- Accounting records: as required by applicable tax / accounting law.
7. Your rights
Subject to applicable law, you have the right to:
- Access the personal data we hold about you.
- Rectify inaccurate or incomplete data.
- Erase ("right to be forgotten") your data.
- Restrict or object to processing.
- Data portability — receive your data in a structured, machine-readable format.
- Withdraw consent at any time, without affecting prior lawful processing.
- Lodge a complaint with your local data-protection authority (e.g. Autoriteit Persoonsgegevens in the Netherlands; PDPC in Thailand).
To exercise any right, email privacy@veradns.io. We respond within 30 days.
8. International transfers
If we transfer personal data outside the EEA / Thailand, we rely on the EU Standard Contractual Clauses (SCC) or an equivalent transfer mechanism, together with additional safeguards where required.
9. Cookies & tracking
This site uses only the cookies strictly necessary for the page to function (none, at the time of writing). No analytics or marketing cookies are set. If we add any in the future we will display a consent banner first.
10. Security
We protect personal data with TLS 1.2+ in transit, encryption at rest where applicable, role-based access to our inbox, and routine security review. Despite reasonable safeguards, no system is completely secure.
11. Changes
We may update this Policy from time to time. Material changes will be notified by updating the "Last updated" date above and, for active customers, by email.
